How to renew your Microsoft 365 subscription

How you renew your Microsoft 365 subscription depends on what stage your account is currently in.

How to renew when recurring billing is on

If your Microsoft 365 subscription is set up to pay with a credit card or bank account, recurring billing is on by default.

If recurring billing is turned on, you don’t need to do anything to renew, as we’ll automatically bill you when your subscription renews.

How to renew when recurring billing is turned off

If recurring billing is turned off for your subscription, you will receive an email and Admin Center notification of the expiration date during your account lifetime.

Before the validity period ends, change recurring billing to on by following the steps below and set Microsoft 365 to be renewed.

  1. Visit admin center
  2. Click “Billing”
  3. Click “Your Product”
  4. Click on the appropriate subscription service
  5. Select “Subscription and payment settings” on the details page
  6. Click “Edit recurring billing”
  7. Select “On” or “On, but update once”
  8. Click “Save”

How to renew your subscription when it expires

If your Microsoft 365 subscription expires, it can be reactivated by a global admin or billing admin for 90 days.

Here’s how to update by reactivating:

  1. Visit admin center
  2. Click “Billing”
  3. Click “Your Product”
  4. Hover over the subscription service that needs reactivation
  5. Select “… (more operations)”
  6. Click “Reactivate this subscription”
  7. Select or add a payment method from the dropdown list
  8. Click “Save”

How to reactivate a canceled subscription

If you intentionally cancel a subscription, rather than due to expiration, the subscription skips the Expired stage and transitions directly to the Disabled stage.

All data will be deleted within a maximum of 180 days after that, so if you have necessary data, access the data as soon as possible and back it up. (requires administrator or higher privileges)

Also, if 90 days have passed without reactivation after expiration or cancellation (disabled state), the subscription will be deleted and even the administrator will not be able to access the data.

Global admins or billing admins can still access the admin center to manage other subscriptions or subscribe to new subscriptions.

summary

  • Microsoft 365 subscriptions are divided into four stages: valid, expired, invalid, and deleted
  • If recurring billing is turned off or in an expired/disabled state, manual renewal or reactivation is required
  • If Microsoft 365 is active, you can always use the latest versions of the Office apps included in the plan

Microsoft 365 subscriptions can be renewed by reactivation for up to 90 days after expiration.

That said, all data will eventually disappear, so it is important to regularly review the contract and check the payment method so that you do not accidentally pass the renewal deadline.
