How to schedule recurring Zoom meetings

The Zoom platform enables you to schedule multiple occurrences of the same meeting, so that the same meeting ID and settings are used throughout each meeting. Meetings can be scheduled on a daily, weekly, or monthly basis, with the choice to repeat the session. A recurring meeting can also be set up for you to use at any time. There are 365 days after the meeting was last started before the meeting ID expires for recurring meetings.

Notes:

  • If you use one of these calendar services for scheduling meetings, then I recommend that you check out the Zoom add-on for Google Calendar (web or mobile) or Outlook (desktop or web) if you want a better experience.
  • It should be noted that recurring meetings that rely on a fixed recurrence pattern (daily, weekly, monthly) will not be scheduled with your Personal Meeting ID (PMI) as your PMI serves as a recurrent meeting ID, but as an ad-hoc meeting ID that you can initiate at any time, like a no-fixed-time recurring meeting.
  • In order for Zoom to automatically create recurring meetings, you must schedule a meeting either on the Zoom desktop client, mobile app, in Google Calendar, or via Outlook, the resulting Zoom meeting will always be configured as a no-fixed-time recurring meeting. As a result, you can schedule this calendar event with whatever recurrence pattern you wish, but that particular recurrence pattern will not be reflected on the Zoom side of the clock.
  • It is important to schedule recurring meetings in the Zoom web portal in order for them to appear in the Zoom desktop client or mobile app for individual meeting occurrences. The meeting will appear in Zoom as No Fixed Time in the event of a no-show, and your calendar will show the individual occurrences only if you specify the dates.
  • The recurring sessions in a meeting can take place up to 50 times, so if you want to recur more usually, use the option No Fixed Time.

It is possible to schedule recurring meetings in Zoom and later add these meetings to either your Google Calendar or your Outlook desktop. The instructions below provide detailed instructions and screenshots.

For this reason, we advise you to choose Google Calendar or Outlook as the way to schedule a recurring meeting in your Zoom desktop client. This way, the recurring meeting is automatically added to your Zoom desktop client. How to Schedule a recurring meeting

  1. Log in to the Zoom desktop application by clicking on the link below.
  2. Then, you will be able to schedule a meeting by following the directions.
  3. To do this, select the option for Recurring meetings.
  4. Select the calendar from which you wish to save the meeting by selecting it under the Calendar option.
  5. Once you have selected the calendar you want to use, click on the Save button to open it and set up your recurring meeting.
  6. Depending on the calendar you selected, you will need to follow one of the sections below.

Setting the recurrence in Google Calendar

The Zoom desktop client opens a browser window when you choose to add a recurring meeting to your calendar in order to add it to the Google Calendar if you chose Google Calendar when creating a recurring meeting in Zoom.

  1. Please sign in with your Google account when prompted. Alternatively, choose your Google account if you have already signed in.
  2. Zoom will now be able to access your Google account if you choose to allow it.
    Once the meeting has been scheduled, Zoom will create an event on the Google Calendar with all meeting details.
  3. You can select the recurrence of your meetings by selecting the drop-down menu that appears below the date and time options.
  4. Then, click on the Save button to complete the process.

Setting the recurrence in Outlook desktop

If you choose to use Outlook in the Zoom desktop client when creating a recurring meeting, you will see the Outlook desktop application on your computer.

Note: It is mandatory that Outlook desktop application is installed on your computer in order to use this feature. Try out the Zoom Scheduler add-in for Outlook if you wish to set up a Zoom meeting recurring in Outlook.

  1. The Recurrence button is located in the top left-hand corner of the Outlook desktop application.
  2. To set up a recurrence, click the button, then click OK when you’re ready.
  3. To send your meeting, you must complete all meeting options.

Viewing recurring meetings

With Zoom desktop client, you can view the list of all your recurring meetings in a convenient manner.

  1. Log into Zoom using your computer’s desktop client.
  2. Choose Meetings from the drop-down menu.
  3. To locate your recurring meetings, you need to go down to the section on Recurring meetings in the left panel.
  4. To view more details and options about a particular meeting, click on that meeting.

How to Schedule a recurring meeting

  1. You need to sign into the Zoom desktop client in order to do this.
  2. After signing in, simply follow the instructions for scheduling a meeting.
  3. Ensure that the option for Recurring meetings is selected.
  4. In order to set up your recurring meeting, you will need to click Schedule in order to open the calendar that you have selected.
  5. Once the calendar has been opened, you will have to select a section from the following.

Setting the recurrence in Google Calendar

The Zoom desktop client opens a browser window when you choose to add a recurring meeting to your calendar in order to add it to the Google Calendar if you chose Google Calendar when creating a recurring meeting in Zoom.

  1. Sign in to your Google account when prompted. Click your Google account when prompted if you have already logged in.
  2. Then click Allow to allow Zoom access to your Google account.
    Zoom will create an event in Google Calendar requesting access to your Google account.
  3. Select the recurrence option you wish for your meetings in the dropdown menu below the date and time selections.
  4. Click on Save to finish configuring your meetings.

Setting the recurrence in Outlook desktop

If you choose to use Outlook in the Zoom desktop client when creating a recurring meeting, you will see the Outlook desktop application on your computer.

Note:

Firstly, you will need the Outlook desktop application installed on your computer in order to be able to use this feature. Try out the Zoom Scheduler add-in for Outlook web app if you want to set up a recurring Zoom meeting.

  1. The Recurrence button is located in the top left-hand corner of the Outlook desktop application.
  2. Simply click the button and adjust the settings.
  3. You are ready to send your meeting invitations.

How to Schedule a recurring meeting

  1. Log in to the Zoom web portal and you will be able to access the portal.
  2. Click Meetings from the menu bar in order to access the portal.
  3. You will then be able to select the date and time for the meeting.
  4. In the Time Zone option, you can choose to set recurring meetings by selecting the checkbox next to it.
  5. You can then edit the recurring meeting. In this way, you can specify how often the meeting takes place as well as how many times it takes place.
    Note: It is possible to have recurring meetings occur up to 50 times. There is an option in the Recurrence drop-down menu that allows for more than 50 occurrences, which you need to select no fixed time.
  6. In the case of recurring meetings, a registration is required and you have the following options:
    • Attendees register once and can attend any of the occurrences: Registered individuals can attend all of the events. There will be a list of all of the dates and times of the webinar as well as an option to register for all of them at the same time. It should be noted that the registration report corresponding to each session will contain the registration reports of all attendees regardless of which session they attend, while the attendee reports corresponding to each session will contain the attendance reports for that specific session.
    • Attendees need to register for each occurrence to attend: In order to attend each occurrence, the registrant must register separately.Their registration page does not allow them to select the time or date of each occurrence, but they can select one event per time and date. It is important to note that the registration and attendee reports will include only the names of registrants (attendees) for the specific session they are being prepared for.
    • Attendees register once and can choose one or more occurrences to attend:
    • It is possible for participants to choose one or more of the occurrences they wish to attend once they have registered. A person who is interested in attending will need to pick which dates and times work best for their schedule and they will only be registered for those dates and times. The person has the option to pick more than one option. There will be a separate registration and attendance report for each scheduled session that contains only those people registered for and attending the particular session.
  7. Then click the “Save” button.
  8. You will again be able to select the meeting options. Click Schedule to finalize.

Adding and editing occurrences

If you are trying to add or edit a meeting that happens only once, you can do so by following these steps.

  1. The Zoom web portal can be accessed by signing into the Zoom website.
  2. Once you are logged in, you will see a Meetings section at the top of the page.
  3. Click on the meeting topic that you wish to schedule.
  4. You will see a list of upcoming meetings that you can choose to show all.
    After you choose, you will see all the meeting time information. The meetings can be deleted or modified by you. Another session can be added in this section as well. A variety of meeting invitation formats are available in this section.
    Note: Initially, you need to add the meeting back to your calendar service in case you’ve previously added it to your calendar (Google Calendar or Outlook, for instance). You do this by editing the recurring event in your calendar service.

Editing all occurrences

  1. Log onto the Zoom web portal by entering your email address and password.
  2. Once logged in, click the Meetings tab on the navigation bar.
  3. If you wish to edit a recurring meeting, simply hover your cursor over the name and click Edit.
  4. It is recommended that you click Edit All Occurrences when you are asked if you want to edit all recurring meetings.
  5. Simply edit the recurring meeting as necessary.
    Note: The meeting needs to be edited through your calendar service, such as Google Calendar or Outlook, if it was previously added there.
  6. Save your changes.

How to Schedule a recurring meeting

  1. Using the Zoom mobile app, you can sign in to your account.
  2. You can then schedule meetings using the Zoom mobile app.
  3. Select the option to repeat the meeting and select a recurrence date.
  4. When you have chosen the time and date, click on the Schedule button.
    You will be redirected to your default calendar app where you can create a new meeting event through Zoom.
  5. Depending on which calendar you are using, you will have to follow one of the sections below.

Setting the recurrence in Google Calendar

  1. On the left-hand side of the screen, beneath the time and date selections, tap More options.
  2. From the Recurrence menu, select the option You don’t wish to repeat this.

Setting the recurrence in Outlook

  1. Choose a recurrence option by tapping Repeat, and then check mark a checkbox to confirm.

  3. Once you have saved the meeting, you can close it.

Viewing recurring meetings

In the Zoom mobile app, there is a tab that allows you to view the list of your recurring meetings.

  1. To get started, sign up for a Zoom account on your mobile device.
  2.  The meeting tab is available once you have created your Zoom account.
  3. To find the recurring meetings you have scheduled, scroll down to the Recurring meetings section of the meeting scheduler.
  4. Once there, you will be able to see the meeting details and meet options.

As the idle time, the account type, and the number of participants in the meeting increase, the meeting will automatically end based on the idle time, account type, and meeting participants. It is important to note that these time limits are applicable to all meetings and webinars, regardless of how the meeting was started (clients, apps, or phones).
